08 / Production Workflow

Localization production workflow.
Fewer handovers. Greater clarity.

We help organize DTP, multimedia, e-learning and website production within one localization project. We connect file preparation, handover rules, quality checks and automation of selected tasks.

We can support a specific stage or design a consistent workflow for your team. We start with real materials and your existing process so that improvements fit day-to-day production.

Localization Production Workflow

Scope of support / Production Workflow

A process adapted to your team, formats and decisions.

A good workflow goes beyond faster clicking. It defines who prepares materials, when approval happens and how files move to the next stage without losing information.

ANALYSIS

Current process mapping

We review stages, tools, formats and the points where revisions arise. We discuss handovers between PMs, language teams and production, identifying repetitive tasks and dependencies requiring client decisions.

PREP

Standardized file preparation

We agree source checklists, text extraction methods and required assets. Localization preparation can cover documents, subtitles, audio scripts, multimedia and courses, depending on the project.

VERSIONS

Naming, versions and handovers

We organize language IDs, folder structures, file names and statuses. We define how translations, feedback and final source files are handed over so teams work on the correct version.

SCRIPTS

Production task automation

We create or adapt scripts for selected repetitive operations, such as conversion, data cleanup or completeness checks. We test on samples and check exceptions before applying them to larger sets.

QA

Quality checks and approval points

We define what needs checking before the next handover. We separate language decisions from technical tasks and document how corrections are reported, implemented and verified.

DEPLOYMENT

Pilot and team instructions

We run the agreed scope on a representative project. We collect issues, refine the process and deliver instructions, checklists or tools for ongoing work.

How we work together

Clear responsibilities. Agreed approval points.

We adapt the scope to your project. Your team makes linguistic and subject-matter decisions, while KeboDesign handles the agreed production and technical checks.

1Analysis and quote

Your team

You describe the current process, challenges and tools and supply sample materials.

KeboDesign

We map tasks and dependencies and agree goals, pilot scope, costs and deadline.

2Workflow design

Your team

You approve roles, approval points and data handover requirements.

KeboDesign

We prepare a stage map, checklists, formats, naming rules and proposed improvements.

3Tool preparation

Your team

You provide samples, environment requirements and exceptional cases.

KeboDesign

We build or adapt agreed scripts and procedures, testing inputs and outputs.

4Pilot and refinement

Your team

Your team works through a representative project and provides workflow feedback.

KeboDesign

We check handovers, output quality and exceptions. We implement corrections and verify the pilot’s results.

5Handover and maintenance

Your team

You approve the final scope and ownership of each stage.

KeboDesign

We deliver instructions, checklists and agreed tools. Further changes and support are agreed separately.

Automation with real data

First a pilot. Then a repeatable process.

Automation works best when inputs and expected outputs are clearly defined. Before deployment, we check representative files, different languages and exceptional cases rather than relying on a single ideal example.

Pilot results show which steps can be improved and where linguistic decisions or human checks are needed. We agree how to measure benefits with the team without assuming a specific saving in advance.

Materials for a quote

What helps us plan the work?

  • A description of the current process, tools and most frequent repetitive tasks.
  • Sample input files and examples of expected outputs.
  • Details of roles, languages, deadlines and material handover issues.
  • Environment requirements, pilot scope and approval method for results.

Questions / Production Workflow

Let’s define the right scope of support.

Do we need to replace all our tools to improve the workflow?

No. We first analyze your current environment. We can organize handovers, naming and checklists or automate a selected stage without rebuilding the entire process.

Which production tasks can be automated?

It depends on formats and how predictable the data is. Examples include conversions, content cleanup, completeness checks and repetitive file operations. We define scope after analyzing a sample.

Does a script replace quality assurance?

No. We agree which checks can be automated and which need a person. Output QA and exception handling remain part of the process.

How are responsibilities divided between the client and KeboDesign?

The client’s team handles linguistic and subject-matter decisions. KeboDesign supports preparation, production and technical checks. Roles are documented in the process map.

What will we receive after the pilot?

An agreed workflow map, checklists and any tools included in scope. We include instructions and details of the data used to test the solution.

Can a workflow cover several services?

Yes. We can connect DTP, subtitles, audio, video, e-learning and website localization. The key is to agree shared formats, versions, approvals and final delivery.
